Now Hiring: Office Support Assistant Location: Dominion Law, LLC PA - Waterville, ME (In-Office) Schedule: 8:00 AM – 4:30 PM, Monday – Friday Role Overview Dominion Law, LLC PA is a stable, family-owned firm in Waterville. Our practice is built on the expertise of three attorneys, each focusing on their respective core areas: Family Law, Criminal Defense, and Estate Planning & Probate. Additionally, we serve our community through supplemental areas including Small Business, Real Estate Transactional work, Adoption, and more. We are seeking a high-maturity, proactive Office Support Assistant to serve as the organizational backbone of our office. This is a multi-faceted role for a "Type A" professional who finds satisfaction in order and taking physical "ownership" of their workspace. You are the first point of contact for clients and the primary caretaker of our professional environment. No prior legal experience is required, but you must be a resourceful problem-solver who can maintain high standards even in nuanced or unfamiliar situations. Key Responsibilities Client Reception & Multi-Practice Intake: You are the face and voice of the firm. You will greet all in-person clients and walk-ins, manage incoming calls for our three attorneys, and screen leads to gather vital information while maintaining a professional, calm, and welcoming demeanor. Database Integrity & File Management (MyCase): Using our practice management software, you will ensure client files and digital records are 100% accurate. While we provide guidance for common workflows, you must be comfortable navigating unique or rare files with a high degree of care and attention to detail. Office Maintenance & Upkeep (Housekeeping): We maintain a "court-ready" professional environment. You will be responsible for the daily physical upkeep of the office, including taking out trash, washing dishes, restocking supplies, and ensuring the lobby and meeting rooms are pristine for clients. Local Errands: You will be responsible for time-sensitive errands, including delivering paperwork to local courts, visiting the post office, and other local runs as needed. Signing Support: Act as a primary Notary and witness for Estate Planning, Probate, and Real Estate signings (training provided). You will help coordinate the "signing ceremony" and ensure all legal formalities are executed flawlessly. Proactive Task Management: During quiet periods, you are expected to stay off personal devices and instead seek out opportunities to learn—whether by mastering new MyCase features, studying redacted files, or improving office organization. Compensation & Benefits Pay Range: $17.00 – $18.50 / hour. Retirement: Opportunity for SIMPLE IRA contributions with employer matching. Supplemental Insurance: Employees may elect to enroll in Aflac policies. Please note: We do not offer employer-sponsored health insurance at this time. The Ideal Candidate High Reliability: You have a dependable commute and value a consistent, focused 8:00 AM – 4:30 PM schedule. Resourceful & Mature: You possess the judgment to navigate "gray areas" and seek out answers when a task is rare or nuanced. Professional Focus: This role requires 100% engagement free from personal distractions (schoolwork, reading, gaming, phones, social media, etc.) during business hours. Maine Notary Public: Current status is a plus; otherwise, you must be willing to become one immediately (Firm-funded). Valid Driver’s License: Required.
